How you as a leader can effectively be managing remote teams

Just like many of you, we’ve shifted to fully remote working conditions. The territory comes with its challenges, especially for managers who have been asked to quickly adapt to a completely new way of managing. 

Managing without face to face communication, being able to tap someone on the shoulder, give feedback at their desk or just chat in the break room.

To help you help your managers, we asked some of our leaders what they are actually doing right now to engage with their team remotely. Below is their secret top tips and tricks for you to steal and share with your managers.

 

How is this different from the million other ‘remote work tips’ blogposts?

Look, I’m writing this now and I know just how many ‘remote work tips’ blog posts are out there. The difference between them and this? Our managers are actually using these approaches. They weren’t just conjured up by some content writer, after a cursory search for “top remote work tips” on google. 

So we know they work, because… well, we use them. In fact, one of the managers in the video is MY manager (can you guess which one?).

To share with your Managers

Here is a breakdown of the tips you can copy and paste to share with your managers in the next 30 seconds. 

Remote Management Approaches from a Tech Company

  1. Use remote-friendly technology tools that align with your projects and make collaboration easier. We use:

  • Design/Visual Collaboration: Figma, Miro
  • Organisation/Collaboration: FAVRO, Asana, Google Drive 
  • Communication: Slack, Zoom, Google hangouts

Bonus tip: use https://meet.jit.si/ for a free, secure video conferencing tool without needing a download (browser-based).

 

2. A daily morning stand-up that’s fast and gives everyone in the team a snapshot.

  • 10 minutes each morning, quick video chat
  • Everyone runs through their top 3 priorities for the day
  • Also share what everyone got done yesterday

Bonus tip: open the meeting up 5 minutes early for social catchups, to replicate the normal chats that happen when grabbing coffee

 

3. Establishing, recording and adhering to a strict work-hour routine with your team will help avoid work hour creep (no more 12 hour days)

  • Have regular zoom meeting with each team member
  • Let them outline their preferred ‘standard’ work hours and write these down, (Eg. 8:30am – 5:00pm AEST)
  • Be vigilant about seeing when your team is online outside these hours

Bonus tip: Put in an END OF DAY calendar reminder for you and your team, as a signal to stop for the day (to prevent burn-out).

 

4. Make a rule of at least one video-call session a day this ensures the team still sees each other daily

 

5. Find small wins you can celebrate as a team every day, this is more critical than ever as it helps boost morale and also ensure your team sees how their work is contributing.

  • Try writing these out at the end of the day/each morning
  • Bring these up in your daily video catchup

 

Feel free to steal these approaches directly and share with your management team. We find them very useful with our people, and you may too.

Managing remotely can be difficult, and finding the right management routine and practice is like riding a bike. You may fall off a couple of times first, and you might need training wheels (like the approaches above), but once you get the hang of it, you’ll never forget!
